Job Description

Reporting to the Events and Stewardship Manager, you will play a key part in providing an efficient events and fundraising function to the Blackburn Youth Zone team.

The ideal candidate will have strong administration, organisational and IT skills and be comfortable working in a busy and fast paced environment.

Duties and Responsibilities:

  • Support the Events and Stewardship Manager with all administrative responsibilities including, general administration duties, typing letters, post/franking, filing, data entry and raising invoices etc.

  • Support in the management of all third parties involved in events including suppliers, volunteers and staff when needed

  • Work with the Events and Stewardship Manager and Volunteer Recruitment and Training Manager to ensure all events are adequately supported by volunteers

  • Work with the Communications Manager to devise promotional plans for events and to support the Events and Stewardship Manager in ensuring events are adequately marketed

  • Handle events enquiries, adding enquirer data onto the BYZ database

  • Create materials to support the smooth running of events including registration forms, sponsorship forms and disclaimers

  • Record all events income such as registration fees and sponsorship monies on the BYZ database

  • Respond to all events enquiries in a timely and professional manner

  • Support in the running of and logistics of all events including set up and close down of all events

  • To be responsible for all social media, website and print material for all events

Events you could be working on: Blackburn Youth Zone Ball, Blackburn Beer Festival, Golf Day, Clay Shoot, Corporate Business Breakfasts etc - Please make sure you are comfortable with the type of events you will be working on before applying for the role.

Personal Qualities


  • Strong IT skills

  • Have good attention to detail

  • Have excellent communications skill, both written and verbal

  • Be comfortable enough to work on your own initiative

  • Willingness to learn


  • Self-starting - able to work without day to day supervision if needed

  • Adaptable - Able to deal with a busy (and sometimes noisy) team environment; willing to ‘pitch in’ at times of high activity

Personable - able to handle general enquiries with efficiency and sensitivity

    • Highly organised with the ability to prioritise

    • Strong attention to detail and accuracy

    • Ability to work calmly under pressure and keep to deadlines

    • To be able to work independently but also as part of a small team


  • Desirable:

    Experience of working in an office environment

    Experienced using Google Docs and Salesforce - mainly Spreadsheets and create forms

    Had experience engaging with third party suppliers

    To have worked in a similar environment previously


  • Maths and English grade A* –C or above.

  • Other information:

  • Please note: This role may require you to work evenings and weekends. Time back in lieu will be offered for this.

  • In accordance with our Child Protection and Safeguarding procedures, this position requires an enhanced CRB checked with will be carried out on your behalf by BYZ.

  • Holidays: 26 days including Bank Holidays - As the business is open on bank holidays you have the option to take these as a holiday or work them
