Job Description

Main purpose:

Reporting to the Social Enterprise Manager, this role is to deliver the day-to-day running of Blackburn Youth Zone Reception/main entrance desk and facility hire administration.

The ideal candidate will have strong administration,organisational and IT skills and be comfortable working in a busy and fast paced environment.

Duties and Responsibilities:

● Be the first point of call to the general public

● Ensure an excellent customer service experience

● Deal with any telephone enquiries

● Help maintain the reception area and keep information up to date

● Manage relationships with Facility Hire customers

● Manage all invoicing for Facility Hire

● Manage distribution of resources to external parties hiring facilities

● Ensure any supporting admin and paperwork is up to date and completed by necessary deadlines

● Play a key role in selling Blackburn Youth Zone’s products and services

● Cashing up at the end of shift

● Book members into the club, book them onto the membership database and collect any fees

● You must report comments, behaviour or incidents which are inappropriate in a setting with children and young

people and understand process for doing so

● Sign all visitors into the building and assign visitor badges

● Keep records up to date including attendance, trips and events

● Helping out with events in the Blackburn Youth Zone calendar, when needed to do so.

Events you could be working on: Blackburn Youth Zone Ball, Blackburn Beer Festival, Golf Day, Clay Shoot, Corporate Business Breakfasts etc - Please make sure you are comfortable with the type of events you will be working on before applying for the role.


Person Specification

Personal Specification:


● Highly organised with the ability to prioritise

● Strong attention to detail and accuracy

● Ability to work calmly under pressure and keep to deadlines

● To be able to work independently but also as part of a small team


● Self-starting - able to work without day to day supervision if needed

● Adaptable - Able to deal with a busy (and sometimes noisy) team environment; willing to ‘pitch in’ at times of high


● Personable - able to handle general enquiries with efficiency and sensitivity


● Strong IT skills

● Have good attention to detail

● Have excellent communications skill, both written and verbal

● Be comfortable enough to work on your own initiative

● Willingness to learn


● Experience of working in an office environment

● Experienced using Google Docs and Salesforce - mainly Spreadsheets and create forms

● Had experience engaging with third party suppliers

● To have worked in a similar environment

● A - C in English GCSE or above

Please note: This role may require you to work evenings and weekends. Time back in lieu will be offered for this. In accordance with our Child Protection and Safeguarding procedures, this position requires an enhanced CRB checked which will be carried out on your behalf by BYZ.
