Job Description

To provide high quality administrative and financial support to the Senior Management Team, Finance Administrator and Marketing Executive, contributing towards the wider organisational development in accordance with Advocacy Focus’ policies and procedures.

This role will help to review, evaluate and develop administration systems and procedures, with an active role to play in developing our admin processes and procedures.


  • To provide full administrative support and assistance to the senior management team (SMT)

  • To support the Finance Administrator with financial recording, Payroll processes budget reconciliation, monthly reporting, document production, processing monthly expenses, paying invoices and maintaining records of expenditure.

  • Support the Operations Director with duties supporting the recruitment and selection and any other associated personnel duties. Responsible for preparing, and amending confidential information concerning employees.

  • Take responsibility for the daily management of our Activ HR personnel management system

  • To make and receive telephone calls, take accurate messages and deal with them appropriately

  • To collate statistical data and help produce reports via an in-house database system.

  • To help review, evaluate and monitor business processes.

  • To support the SMT in managing their diary, appointments and associated travel.

  • Provide support the Marketing Executive with the communication strategy, including updating the website, the development of marketing materials and their dissemination across websites, Twitter and Face book.

  • To work as a member of the team, attend monthly team meetings,

  • To represent Advocacy Focus at various local meetings/promotional events as required and to provide feedback to the team.

Person Specification

 Skills required:

  • Competent typist

  • Competent in the use of IT applications as well as social media i.e.: Twitter, Facebook

  • Ability to maintain high levels of confidentiality.

  • Accurate record keeping and database experience.

  • Active listening skills.

  • A fast learner.

  • Good timekeeper and time management skills.

  • Ability to listen to and engage with people from diverse backgrounds, both face to face and over the telephone.

  • Ability to prioritise effectively.

  • Ability to work flexibly and manage your own diary and the diaries of the SMT.

  • Ability to use supervision and peer support.

Qualifications Required:

Excellent standard of English, both verbal and written, strong organisational skills

GCSE Maths and English at Grade C or above
