Job Description


Procurement Administration

  • Placing and expediting purchase orders on a timely basis

  • Reconciliation of Procurement transactions

  • Receipting in of ‘Goods Received Notes’ for HO and site

  • Organising courier collections/deliveries for HO and site

  • Organising HGV transport for material deliveries/collections

  • Setting up new vendors on the Navision Software system

  • Completing credit account application forms

  • Maintaining the ‘Vendor Pre-Qualification’ documents

  • Implementing and managing all travel and accommodation bookings for all employees when required

  • Ordering of stationery and office furniture for HO and site when required

Fleet Administration

  • Work within a small team to manage the utilisation of fleet vehicles by allocating spare vehicles where a long term vehicle rental is required.

  • Booking hire cars / vans as and when required.

  • Process leaver notifications and add returning vehicles on to the vehicle list.

  • Process driver licence checks for permission to drive, ensuring all relevant checks have been completed.

  • Setting up of fuel accounts including the ordering / cancelling of Fuel Cards for new employees / leavers.

  • Check and log supplier quotations for new vehicle orders and ensure orders are processed within agreed timescales.

  • Ensure vehicle compliance by assisting the Fleet Manager with the monitoring of MOT and RFL expiry together with fines administration.

  • Assist with the processing of supplier invoices and recharges to interco departments.

  • Update records for the Motor Insurance Database (MID).

  • Assist with other duties in the office as required


  • Ensure Procurement area and Stationery room is kept tidying and accessible

  • Undertake and maintain Procurement filing for the department to a satisfactory standard

  • Archiving

  • Acquire a basic understanding of the training administration processes and procedures

Person Specification

Qualifications Five GCSEs (grade C and above) in both Maths and English.

Skills and Abilities: IT literate, with working knowledge of the Microsoft Office suite. Able to plan, prioritise, use initiative and work accurately and efficiently to meet deadlines. Capable of working with minimum supervision on an individual, or team basis.

Knowledge and Experience whilst previous industry experience is not necessary an interest in working within Procurement, and the aptitude to engage with multiple and varied tasks, is essential.
